RCA Travels – HGB Enterprises, LLC

These Terms & Conditions (“Agreement”) govern all travel planning and booking services (“Services”) provided by RCA Travels, a division of HGB Enterprises, LLC, to the Client (“You”, “Traveler”).
1.Agency Role
RCA Travels acts solely as a travel agent for airlines, hotels, cruise lines, tour operators, and all other suppliers (“Suppliers”). Suppliers are independent entities and not owned or controlled by the Agency.
The Agency is not responsible for:
•Supplier cancellations or delays
•Schedule changes or rerouting
•Supplier bankruptcy or failure
•Quality or performance of Supplier services
•Lost baggage, illness, injury, weather, strikes, epidemics, or force majeure
Your reservation is governed by each Supplier’s own Terms & Conditions.
2.Client Responsibilities
You agree to:
•Provide accurate legal names matching passports/ID
•Review all booking confirmations immediately
•Ensure compliance with passport, visa, vaccination, and entry requirements
•Make timely payments
•Acknowledge Supplier rules and penalties
•Arrive on time for flights, tours, cruises, and transfers
The Agency is not liable for losses resulting from failure to follow requirements.
3. Payments, Fees & Refunds
3.1 Supplier Payments
Payments may be processed directly with Suppliers or through the Agency using Client-provided authorization.
3.2 Agency Fees
Any planning fees, change fees, research fees, or cancellation fees charged by the Agency are non-refundable.
3.3 Refunds
Refunds are governed solely by the Supplier. RCA Travels:
• Does not control refund decisions
• Does not guarantee refunds
• Is not liable for Supplier-denied refunds
4. Travel Insurance
RCA Travels strongly recommends Travel Protection Insurance to cover:
• Trip cancellation/interruption
• Medical emergencies
• Evacuation
• Lost or delayed luggage
• Supplier default
If you decline insurance, you assume all financial risk.
5. Travel Risks (Force Majeure)
You understand that travel involves inherent risks, including weather, illness, epidemics, government restrictions, terrorism, and Supplier changes. RCA Travels is not liable for disruptions beyond its control.
6. Documentation
You are solely responsible for:
• Valid passport (6+ months beyond return date recommended)
• Visa/ESTA approval
• Required vaccinations or test results
• Compliance with airline, cruise line, or destination regulations
7. Chargeback Policy
You agree not to initiate a chargeback for any of the following:
• Dissatisfaction with travel arrangements
• Supplier cancellation or schedule changes
• Visa/passport issues or denied boarding
• Weather or force majeure events
• Refund policies outside the Agency’s control
Unauthorized chargebacks may result in:
• Collection actions
• Administrative fees
• Attorney fees
8. Privacy & Data Use
RCA Travels collects only information required for booking travel. We do not sell data. Information may be shared with Suppliers solely for reservation purposes.
9. Electronic Signatures
Electronic signatures and checkbox acknowledgments are legally binding under the U.S. E-SIGN Act.
10. Governing Law
This Agreement is governed by the laws of the State of North Carolina.
By booking with RCA Travels, you acknowledge and accept these Terms & Conditions.
